Job Description

As a Virtual Assistant, you help your employers with daily administrative tasks and schedules. Instead of going into the office every day, you will complete your responsibilities remotely at home or in any location of your choice with internet access. You are in charge of handling the small details to keep the company moving so that your employers can focus on large company goals. Virtual assistants communicate with their employer on multiple channels, such as email, video messaging, instant messaging, Skype, WhatsApp and phone calls. For this role, a strong Internet connection is required. Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision. RESPONSIBILITIES • Organize employer’s files, answer emails, and arrange meetings. • Manage expense reports, orders, and confidential financial information. • Liaise with suppliers of the company and then keep a detailed report on all transactions with suppliers • Liaise with government organizations such as Customs, Ghana Revenue Authority, Ghana Airport Company etc. • Type documents, mail letters, and take notes • Prepare customer spreadsheets and keep online records • Perform market research • Address employees administrative queries • Assist with any other duties that might be assigned


Required Skills / Experience

• Degree in Business Administration or relevant subject area • 3- 5 Years proven experience as a Virtual Assistant or relevant role • Experience working in Logistics or shipping sector and knowledge air freight is highly recommended • Experience with word-processing software and spreadsheets (e.g. MS Office) • Knowledge of online calendars and scheduling (e.g. Google Calendar)

Years of Experience : 3 - 5 Years   
    

Competencies

• Excellent phone, email and instant messaging communication skills • Excellent time management skills • Candidate must be organized, be proficient in standard office computer programs, and have excellent communication skills • Candidate must be able to motivate his/herself and work independently • Candidate must have excellent communication skills, both verbally and written. Regular communication is vital in this role because virtual assistants are not in the office with their employer. • As a virtual assistant, you must have the ability to multitask projects; your employer may need you to coordinate several projects and events at the same time. • You also need to keep track of your employer’s schedules and appointments and respond quickly to emails and other office messages.
